Frequently Asked Questions

Graduation – The NJIT Office of the Registrar is responsible for the graduation process which pertains to the steps needed to obtain your degree. Please see the Graduation section for FAQs related to the Graduation process.

Commencement – The NJIT Office of Special Events is responsible for the Commencement Ceremony which is our celebration for graduation. Please see the Commencement section for some FAQs related to participation in the Commencement Ceremony. For all Commencement Ceremony questions, please visit our Commencement website. The website will be available by mid-February.

Graduation

Q: Do I have to apply for graduation?

A: Undergraduates: Undergraduates do not need to apply for graduation. However, you will need to complete the online Graduation Verification form on Highlander Pipeline to verify your graduation information and indicate your intention to participate in the Commencement Ceremony.

May 2018 Candidates: The Graduation Verification form will be available on February 26, 2018 and must be completed no later than March 30, 2018. All students must complete a new Graduation Verification Form, even if you completed one in a previous semester.

Graduates: All graduate and PhD students need to apply for graduation using the form here. If you previously completed an application and were not awarded a degree, you must complete a new application for the semester you expect to graduate in.

            The deadline for December Graduate applications - October 15

 

Q: How do I access the Graduation Verification form?

A: Log in to Highlander Pipeline --> Student Services --> Banner Self Service --> Student --> Graduation --> Graduation Verification Form 

Available February 26th until March 30th

 

Q: Do I need to complete the Commencement Appeal form?

A: The only students that should complete the Commencement Appeal Form are those undergraduate students who have not received any communication about graduation by March and feel they are eligible to graduate and/or participate in the ceremony. In addition, if your academic department has stated you are not eligible to participate and you feel this information is inaccuarate, you may complete the Commencement Appeal Form.

Undergradute students who will complete their last 2 courses in the summer and are registered in the summer and who received approval to participate in the commencement ceremony from their academic department do not need to complete this form.

 

Q: How do I access the Commencement Appeal form?

A. Log in to Highlander Pipeline --> Student --> Graduation --> Commencement Appeal Form

Q: What is the fee for graduation?

A: Depending on the semester you started at NJIT, you may have been charged a matriculation fee or a graduation fee of $120 that covers all costs associated with graduation, including conferring your degree. You must pay the $120 fee whether you plan to participate in the ceremony or not.

 

Q: What do I do if I was charged $120 Matriculation Fee and $120 Graduation Fee?

A: Please contact the Office of the Registrar if you were charged both the $120 Matriculation Fee and the $120 Graduation Fee so your account can be credited.

 

Q: Do I have to pay the Matriculation or Graduation Fee if I do not attend the Commencement Ceremony?

A: Yes, you are responsible for the $120 fee regardless if you attend the Commencement Ceremony or not, as this fee covers the cost associated with conferring your degree.

 

Q: What do I do if I have a hold?

A: Please review Highlander Pipeline to view holds that are on your account and review the link to determine which department placed the hold on your account. Contact that department to resolve any outstanding issues. Please review financial holds for more information.

 

Q: How do I know what kind of hold is on my account?

A: To review your holds, log in to Highlander Pipeline --> Student Services --> Banner Self Service --> Student --> Student Records --> View Holds. Please contact the department responsible for the hold. Please be sure to satisfy library fines as well.

 

Q: What do I do if I have not received any gradution information but I believe I am going to graduate in May 2018 or I believe I am able to participate in the Commencement Ceremony?

A: Graduates: Please be sure to submit your application for graduation by March 1

Undergraduates: Speak to your academic department to determine if you should be pre-certified to graduate or are eligible to participate in the ceremony. Your department will notify the Office of the Registrar if you should be added to the May 2018 ceremony participants list. After you meet with your academic department, if you still have questions, please complete the Commencement Appeal Form (available February 26) in Highlander Pipeline.

 

Q: What if I have transfer credits from another institution that were not applied to my transcript?

A: The Registrar’s Office requires an official transcript to post transfer credit to your academic record. If you already provided an official transcript to NJIT, please email registrar@njit.edu or stop by the Registrar’s Office in the Student Mall to verify we received your transcript. If you did not provide an official transcript, please send an official transcript immediately. Please allow up to 2 weeks for the credits to post to your account. If you do not see the transfer credits 2 weeks after we received the transcript, please email registrar@njit.edu or stop by the Registrar’s Office in the Student Mall to request a status update.

 

Q: How do I know which name will appear on my diploma?

A: The name on your diploma will match the name in our system.

Undergraduates may verify the name in our system when you complete the online Graduation Verification form in Highlander Pipeline.

If your name is inaccurate and/or you need to make a change to your name, complete the Request to Change Student Name and submit required legal documentation to the Office of the Registrar.

 

Q:  What if the name I want on my diploma is different than the name in the Highlander Pipeline?

A:  Complete the Request to Change Student Name and submit required documentation to the Office of the Registrar.

 

Q: How do I get my diploma?

A:  May 2018 Diplomas will be available for pick up at Diploma Day on Wednesday, June 20, 2018; Campus Center Ballroom between 10am and 12pm. You can drop in to pick up your diploma; you do not have to stay for the duration of the event. 

December 2017 Diplomas will be available for pick up on February 14, 2018 in the Office of the Registrar. You will receive an email once your diploma is ready.

August 2017 Diplomas remaining after October 2, 2017 were sent United States Postal Service, certified mail.

If you are unable to pick up your diploma, you may send a representative with a signed letter authorizing them to pick up your diploma for you. Please send your ID card (or a photocopy of your ID card) and have your representative bring their ID as well in order for us to release your diploma to them.

 

Q: How do I request a transcript with my graduation date?

A: You may request a copy of your transcript here. The graduation date will appear after your department has certified your academic requirements are complete.

 

Q: What is the official graduation date?

A: The graduation date for each official graduation period is:

                Fall Semester Completion – December 31

                Spring Semester Completion – May Commencement Date (variable)

                Summer Completion – August 31

Final Graduation Certification is the responsibility of each Academic Department and takes place within 2-4 weeks after the official graduation periods. Graduates will be notified when diplomas are available for pick up via their official NJIT email address; diplomas can be mailed upon request.

 

Q: What do I do if I have a 4.0?

A: Students with a 4.0 will be verified after final grades are posted in May. You will receive email communication via your NJIT account regarding further instructions if you are participating in the Commencement Ceremony.

 

Q: When will I know if I am graduating with academic honors during the Commencement Ceremony?

A: Academic honors will be calculated after fall grades are posted according to the qualifications in the Catalog. You can obtain your honors medals at the Grad Fair. After May grades are posted, your academic transcript will reflect your final honors designation.

            Cum Laude:                  GPA of 3.400 – 3.649

            Magna Cum Laude:       GPA of 3.650 – 3.849

            Summa Cum Laude:      GPA of 3.850 – 4.00

 

Commencement

Q: Do I need tickets/invitations for the Commencement ceremony?

A: Please visit the Commencement website for more information in early February.

 

Q: When is the Commencement Ceremony?

A: Commencement ceremony is held each May only. We do not have commencement ceremonies in August or December. Those graduating in August or December are invited to participate in May.

Q: What is the Grad Fair?

A: The Grad Fair is for all Commencement Ceremony participants (undergraduates, graduates and PhD students). At the Graduation Fair, you will receive your cap, gown, academic honor distinction medal (if applicable), and reader card. It is important to attend this event so you will know what to do for the Commencement ceremony and have all of the items needed.

Grad Fair will be held on Friday, April 27, 2018 at the NJIT Wellness and Events Center from 10am until 6pm.

You can join us any time from 10 to 6 to drop in and pick up your items. You do not have to stay for the duration of the event.

 

Q: What if I can not attend the Grad Fair?

A. If you can not attend the Grad Fair, you may send an authorized representative with a copy of your ID, a copy of their ID, and a letter authorizing him/her to pick up your commencement cermony materials. You may also contact the bookstore to have these items mailed to you for a shipping charge. Please see the Grad Fair website for more information and a sample authorization letter.

 

Q: When do I pick up my cap and gown?

A: Cap and gowns will be available for pick up at the Grad Fair on Friday, April 27th from 10 am until 6 pm. If you are not able to attend either day, you may send an authorized representative with a copy of your ID, a copy of their ID, and a letter authorizing him/her to pick up your commencement cermony materials.

 

Q: Is there a charge for caps and gown?

A: There is no additional charge for your cap and gown.

 

Q: When will the list of Commencement 2018 participants be available?

A. The May 2018 Commencement participant list will be available by the end of March. This will contain all May 2018 students who are eligible to participate in the commencement ceremony. This includes those who graduated in August 2017, December 2017, and potential May 2018 candidates

 

Q: What do I do if I do not see my name on the May 2018 Commencement partipant list?

A. Please email commencement@njit.edu if you do not see your name on the participant list but you completed the Graduation Verification form (for undergradutes) or you applied for graduation (for graduates). If you did not complete the Graduation Verificaiton form (for undergraduates) because it was not available on Highlander Pipeline, please complete the Commencement Appeal form (available February 26th until March 23rd).

 

Q: How do I know if I am eligible to walk?

A: Your academic department will determine if you are eligible to walk.

Undergraduates: In order to participate in May 2018 Commencement, you must be within 2 courses of your academic requirements and register for those two courses here at NJIT in the Summer 2018 term. With departmental permission, you may also register to take the last two courses at another school during the Summer 2018 term.

Graduates: The Office of Graduate Studies will notify graduate students who may participate in the Commencement Ceremony.

 

Q: What does it mean to be pre-certified?

A: Your academic department will determine if you are pre-certified for graduation if you are an undergraduate. Pre-certified students are expected to complete all academic requirements for graduation by the end of the term.

 

Q: What do I do if my department says I am not eligible to graduate?

A: Undergraduates: You can complete a Commencement Appeal Form on Highlander Pipeline on February 26th if you wish to appeal your academic department's decision regarding your eligibility. More info to follow in February.

Graduates: Please contact the Graduate Studies Office at gso@njit.edu if you have questions regarding your academic department’s eligibility determination.

 

Q: What is the difference between pre-certifictaion and eligible to walk? Who determines if I am pre-certified or eligible to walk?

A: Your academic department will determine if you are pre-certified or eligible to walk. Pre-certified students are expected to complete all undergraduate academic requirements for graduation by the end of the Spring 2018 term.

Undergraduates: You are eligible to walk if you are within 2 courses of meeting all academic requirements for graduation and you are registered to take both course during the Sumemr 2018 term.

 

Q: What do I do if my department says I am not eligible to graduate or participate in the Commencement ceremony?

A: Undergradduates: If you feel you will complete all of your academic requirements by the end of May 2018, or you are within 2 courses completing your degree and you are registered for both classes in Summer 2018, please complete teh Commencement Appeal form (available February 26 until March 23) in Highlander Pipeline.

Graduates: Please contact the Graduate Studies Office at gso@njit.edu if you have questions regarding your academic department's eligibility determination.

 

Q: What if I was pre-certified to graduate in December but I dropped a course or my course was cancelled?

A: If you dropped a course and register to take that course during the Spring 2018 term, you may qualify for May 2018 graduation.

 

Q: What if I am eligible to walk and register for both courses in the summer session, but one of the courses is cancelled or the course I need is not being offered curing the summer session?

A. Undergradutes: If you do not complete both courses by the end of Summer 2018, you will not be eligible to participate in May 2018 Commencement.

 

Q: If I graduated in August 2017 or December 2017, can I participate in the May 2018 Commencement Ceremony?

A: Yes, if you complete your degree in August 2017 or December 2017, you may participate in May 2018 Commencement Ceremony.

You may not participate in more than one ceremony for the same degree.

 

Q: If I anticipate graduating in August 2018, can I participate in the May 2018 Commencement Cermony?

A: Undergraduates: You are eligible to participate in the May 2018 Commencement Ceremony if you are within 2 courses of completing your degree and you are registered to complete those last 2 courses in Summer 2018. You may also participate in the May 2019 Commencement Ceremony, if you prefer. However, you may not participate in both ceremonies for the same degree. If you have more than 2 courses to graduate in Summer 2018 or you can not register for your last 2 courses in Summer 2018, you are welcome to join us in May 2019.

Gradutaes: August 2018 graduates may participate in the May 2019 Commencement Ceremony.

 

Q: How do I know if my family member/friend is graduating?

A: The list of May 2018 Graduates will be updated on June 16, 2018.

The list of December 2017 Graduates will be updated by February 1, 2018.

 

Q: May I delay my participation and walk in the May 2019 Commencement Ceremony?

A: If you are eligible to participate in the current Commencement Ceremony but would like to delay participation, you may do so for 1 year. Please email Commencement@njit.edu requesting permission to participate the following May. In your email please indicate:

1. Your name

2. Student ID

3. The term you will be completing your degree

4. Request permission to delay your participation so you can join us for the next May 2019 Commencement Ceremony

You will then receive an email confirmation granting you permission with instructions for next year.

 

Q: Can I order rings and/or a diploma frame?

A: You may order rings and/or diploma frames at the NJIT bookstore.

 

Q: How do I obtain my veteran cord to wear during the Commencement Ceremony?

A: Veteran cords will be available at the Grad Fair.

 

Q: How do I obtain my academic honor medal (summa cum laude, magna cum laude, cum laude)?

A: Academic honor medals will be available at the Grad Fair.

 

Q: How do my family members obtain a visa?

A: There is a sample Invitation Letter if you need to provide one for your family members to obtain a visa. NJIT does not issue invitation letters.
