Supplemental Grant Reporting for Promotion & Tenure: Office of Research Reference Guide
Overview
This document serves as a guide for candidates and review committees (Department P&T, Dean, and UCPT) regarding the generation and verification of supplemental grant reports provided by the Office of Research.
1. Purpose of the Report
The supplemental report provides an official institutional snapshot of a candidate’s sponsored research activity. It is intended to complement the candidate’s CV by providing verified financial data and internal role designations (PI, Co-PI, Senior Personnel) as recorded in the university’s system of record.
2. Data Sources & Methodology
The report is compiled using data from Streamlyne and the Banner Finance system.
- Proposal Data: Pulled from Streamlyne to show "Pending," "Not Funded," and "Awarded" status.
- Expenditure Data: Sourced from Banner to reflect the actual "spend" or burn rate associated with the candidate's projects.
3. Production Process
- Initial Pull: Data is extracted based on the candidate’s employee ID.
- Internal Audit: The Office of Sponsored Research Administration (SRA) reviews the data to ensure that multi-year awards and sub-awards are accurately represented.
- Candidate Verification: Candidates are typically given a window to review the draft report for discrepancies before it is finalized for the P&T dossier.
4. Key Definitions in the Report
- Direct Costs: Funds used specifically for project execution.
- Indirect Costs (F&A): Institutional overhead recovered.
- Obligated Funds: Amounts currently committed by the sponsor.
- Anticipated Funds: Future increments expected but not yet received.
